Introduction

This article explains how to search for transactions and perform available actions in the Cybersource Business Center (CBC). It also describes how to use Transactions by Phase to locate transactions in specific processing stages and take action on one or more transactions.

Using Transaction Management, you can review transaction details, view transaction history, and perform actions based on the transaction type and status. Depending on where a transaction is in its lifecycle, available actions can include voids, authorization reversals, settlement requests, and credits.

The Transaction Management tools in the CBC allow you to:

  • Search for transactions using date range and other search criteria.
  • Open the Transaction Details page for a specific transaction.
  • View transaction history and available transaction actions.
  • Perform transaction actions based on transaction type, status, and processing stage.
  • Search for transactions by phase to work with groups of transactions in specific statuses.

Available actions vary by transaction and may include:

  • Void
  • Authorization reversal
  • Settlement request
  • Credit
  • New authorization
  • New order
  • Create token
  • View receipt

Procedure

Search for Transactions

  1. Select Transaction Management from the left-side menu.
  2. Select Transactions.
  3. Enter your search criteria.
  4. Adjust the date range if necessary.
    • The default search range is the last seven days.
  5. Use the search results to identify the transaction you want to review or update.

View Transaction Details

  1. Click the Request ID link for the transaction in the search results.
  2. Review the Transaction Details page.
  3. Review the available transaction history.
  4. Locate the available actions in the top-right corner of the page.

The actions shown on the Transaction Details page depend on:

  • The type of transaction.
  • The status of the transaction.
  • Where the transaction is in the transaction cycle.

Perform a Settlement Action

When a transaction is eligible for settlement, complete the steps to settle it:

  1. Select Settle on the Transaction Details page.
  2. Complete the required fields in the Credit Card Settlement dialog box.
  3. Click Settle.
  4. Click Confirm to process the transaction.

After the action is processed:

  • A substitute receipt window opens.
  • A green confirmation message indicates the transaction was successfully processed.
  • You can choose to:
    • Send the substitute receipt to an email address.
    • Print the receipt.
    • Download the receipt.
  • Click the X in the top-right corner of the window to close it.

Use Additional Actions

Some actions, such as New Authorization, New Order, or Create Token, open a different page or module to complete the process.

Other supplementary actions, such as View Receipt, are available from the More Options ellipsis on the Transaction Details page.

All actions performed in the CBC are processed through Cybersource-powered application programming interfaces (APIs), which helps ensure transactions are handled securely.

Search for Transactions by Phase

The Transactions by Phase feature helps you search for transactions based on a specific stage in processing. This is useful when you need to take action on multiple transactions in the same phase.

Access Transactions by Phase

  1. Select Transaction Management from the left-side menu.
  2. Select Transactions by Phase.

Available Search Options

You can filter transactions by these phase categories:

  • Settlements Pending Batch
  • Authorizations Ready to Settle
  • Exception Search
  • Authorizations Needing Review

Examples of actions available by phase include:

  • Void a settlement that is still in the Settlement Pending Batch phase.
  • Settle transactions that are in the Authorized Ready to Settle phase.
  • Review and settle transactions that are in the Authorizations Needing Review phase.

Void Transactions in Settlement Pending Batch

Complete the steps to void one or more transactions in the Settlement Pending Batch phase:

  1. Open Transactions by Phase.
  2. Select Settlements Pending Batch.
  3. Set the time range to within the last 48 hours.
  4. Click Search.
  5. Select one or more transactions by clicking the checkbox to the left of each transaction in the search results.
  6. Click Void.
  7. Click Confirm to void the selected transactions.

After the action is completed, a Void Results message confirms that the selected transactions were successfully voided.

Key Details

  • The default date range when searching transactions is last seven days.
  • Available actions depend on the transaction's type, status, and position in the transaction lifecycle.
  • Action buttons appear in the top-right corner of the Transaction Details page when available.
  • Some actions open a separate workflow or module to complete the process.
  • Transactions by Phase is useful for taking action on multiple transactions in the same processing stage.

Potential Client Questions

  • • Why do I not see any action buttons on the Transaction Details page?
    • Available actions depend on the transaction type, status, and where the transaction is in its lifecycle. If no actions are available, the transaction may already be in a final state, such as fully settled, voided, or credited.
  • • Can I take action on multiple transactions at once?
    • Yes. Use the Transactions by Phase feature to search for transactions in a specific processing stage, then select multiple transactions using the checkboxes and apply the available action, such as Void or Settle.
  • • What is the default date range when searching for transactions?
    • The default search range is the last seven days. You can adjust the date range to expand or narrow your search results.
  • • What is the difference between Transactions and Transactions by Phase?
    • Transactions allows you to search for individual transactions using criteria such as date range. Transactions by Phase allows you to filter transactions by their current processing stage, making it easier to take bulk action on transactions in the same phase.
  • • What happens after I settle a transaction?
    • After a settlement is processed, a substitute receipt window opens with a green confirmation message. You can send the receipt to an email address, print it, or download it.
  • • Can I void a transaction that has already been submitted for settlement?
    • You can void a settlement that is still in the Settlement Pending Batch phase. Once a transaction has moved past that phase, a void may no longer be available and a credit may be required instead.
